Eligibility, claims, remittances, and deposits now move through automated checks and matching. Staff spend their time on the transactions the rules cannot resolve.
BondOrtho is a revenue cycle management product for orthodontic and dental practices across the United States. It sits between a practice's clinical schedule and the money that schedule generates: eligibility, claim submission, remittance handling, payment posting and bank reconciliation.
Eligibility checked against the clearinghouse before appointments
Claim assembly, validation and submission
ERA and EDI files matched to claims
Payment posting and bank reconciliation
Month end used to mean comparing ERA payment lines against bank deposits and patient balances by hand. Now the system handles the matches it can verify, and our team only steps in when something doesn’t line up.”
A payment could appear in three different places: the remittance file from the payer, the deposit at the bank, and the balance on the patient ledger. Those records did not automatically explain how they related to one another. Staff had to connect them manually while also checking eligibility, entering claims, resolving differences between systems, and finding mistakes that often became visible only during reconciliation.
Eligibility checks required staff involvement before appointments
Claims were manually entered into payer workflows
ERA payment lines had to be compared with bank deposits
Patient balances could differ between connected systems
Reconciliation errors often surfaced late in the cycle
At roughly 10,000 transactions each month, manual matching became difficult to scale with additional staff alone.
Anything with a stable rule and a repeatable input went to a bot. Anything needing judgment went to a person.
Appointments are checked against the clearinghouse before the patient arrives, giving the practice coverage information earlier in the visit cycle.
Automation reads practice data, prepares claims, validates fields, and moves eligible claims into submission.
Payment lines from remittance files are matched to claims and corresponding deposits.
Patient data, coverage, and balances are synchronized across the practice app, clearinghouse, and BondOrtho portal on scheduled runs.
The React portal surfaces transactions automation cannot safely complete, such as failed claims, unmatched payments, or unexpected screen changes.
BondOrtho automates software interfaces it does not control. A payer portal can move a field. A vendor can change a Windows screen. A clearinghouse can alter the format of an input. That makes silent failure more dangerous than visible failure. Before acting, the automation checks whether the screen or data matches what it expects. If it does not, the transaction stops and becomes an exception. Eligibility, validation, and matching rules live in the .NET services instead of being buried inside individual automation scripts. The bots handle the interaction; the application decides what constitutes a valid transaction.
Adding transactions no longer adds administrative hours. About 80% of the work that used to pass through a person now runs without one.
| Before | After |
|---|---|
| Eligibility checked manually near the visit | Eligibility checked ahead of appointments |
| Claims entered through payer workflows | Routine claims assembled through automation |
| ERA files compared with bank records | Payment lines matched as records arrive |
| Balances could differ between systems | Account data synchronized on a schedule |
| Errors surfaced during reconciliation | Exceptions raised when automation cannot proceed |
BondOrtho depends on systems outside its control: a dental clearinghouse, practice management software, banking providers, and document storage. Each can change independently, which means the automation needs ongoing engineering rather than a one-time integration project. TechnBrains supports BondOrtho through a dedicated product team covering backend development, RPA, front-end engineering, QA, and DevOps. The team maintains the automation, adjusts integrations when external systems change, and continues developing the portal and revenue cycle logic as the product evolves.
Each payment line in an ERA has to resolve against the correct claim and deposit. We designed the matching logic to stop when the data is ambiguous, because posting the wrong payment creates a much harder problem downstream.
Extend your team with engineers who have automated eligibility, claims and reconciliation against systems that change without warning.
